Esthetician Reminders: Appointments, Changes and Follow-Up

An appointment reminder and a recommendation to repeat a treatment serve different purposes. The first communicates an agreed time and place. The second needs individual professional judgment and a conversation with the client. Sending “your next treatment is due” to everyone who has not ordered recently confuses those purposes.

This workflow is for a solo esthetician or a small practice with reception support. It separates message types, provides reminder and rescheduling examples, and shows how to hand personal questions to the practitioner. Start with one agreed contact before scheduling messages for a larger audience.

Give each message a clear basis

A previous order does not establish that a treatment took place or that another one is appropriate. Check for an existing future appointment before inviting the client to choose a time. Someone who has already booked should receive accurate appointment information rather than a conflicting rebooking prompt.

Keep a discount or package promotion out of a confirmed-appointment reminder. The client needs to know where to arrive or how to report a change of plans. Write a separate promotional message and check its audience when an offer is appropriate.

Record the agreed contact rather than a standard treatment interval

If the next appointment is confirmed, use that booking as the source. If the practitioner suggests a later conversation, agree with the client when and how to make contact. A monthly sending schedule should not determine whether someone needs another treatment.

Use a short operational record for reception handoff. The following is a working template, not a list of new BotMarketing fields:

  • Purpose: remind the client about a confirmed consultation, rather than recommend another treatment.
  • Appointment: date, time and practice time zone, practitioner, location and actual duration.
  • Contact: agreed private channel and sending time.
  • Material: document name and version, if selected by the practitioner.
  • Owner: the person who checks the booking and handles rescheduling replies.
  • Change handling: which pending messages need correction or cancellation when the booking changes.

In a fictional example, Anna has a consultation on 15 October at 4 pm in the practice’s time zone. She agreed to one Telegram reminder on 14 October at 6 pm. These dates illustrate a contact agreement; they do not describe a treatment cycle. Reception checks the booking again before sending:

Hi Anna, a reminder about your agreed consultation on 15 October at 4 pm, practice local time, at [address]. If your plans change, reply here and reception will help you discuss rescheduling.

A contact without a booking needs different wording: “You asked us to contact you on [date] to discuss another consultation. If you would like to find a time, reply here.” Use it only when that contact was agreed. Stop those invitations after a decline. No reply does not create an appointment or justify an endless follow-up sequence.

Update pending messages when an appointment changes

“I can’t make it” needs a booking decision. Ask whether the client wants to cancel or find another time, then check availability for the whole duration of the required service. An alternative offered in a message is not yet a confirmed appointment.

For the same fictional example, use a neutral rescheduling message:

Hi Anna, understood that 15 October at 4 pm no longer works for you. Would you like to cancel or find another time? We can offer [date, time and time zone] for the consultation. Let us know whether that suits you; reception will check and confirm the new booking separately.

Once agreed, update the appointment and review every pending message containing the old time, location or document. Correct or stop those messages before dispatch. If an old reminder has already gone out, send a clear correction with the newly confirmed date. A cancellation should not automatically generate a recommendation for another treatment.

Questions about changing the service belong to the practitioner. A client’s comment asking to replace a consultation with a treatment does not automatically change professional approval or appointment duration.

Keep professional guidance separate from reception notes

Preparation and aftercare: deliver the approved material

A message can help a client find instructions; the practitioner decides their content and suitability. Give the document a recognizable name and check its link and version. Replace the placeholders with the actual details before using this example:

Here is the material agreed with your practitioner: [document name, version and link]. If you have a question about the instructions, reply here. Reception will pass it to [practitioner] or help you contact them at [contact details].

Do not turn a general campaign into personal aftercare advice or alter medication or treatment instructions through a template. A practitioner needs to read reports of a reaction or other personal questions. An automated reply should not assess the client’s condition or say that a reaction is normal. Provide a working direct contact route and accurate response hours; say a question has been passed on only after it has been.

Reception needs the next action, not the clinical history

Keep operational notes about the current appointment, contact agreement, responsible person and handoff. For example: “Question about the instructions passed to the practitioner; do not send a next-visit invitation yet.” Another staff member can continue the task without repeating personal details.

Keep diagnoses, detailed health history, photographs and clinical instructions in the appropriate clinical-record system with suitable access. A customer database for orders and conversations does not replace that documentation. Do not copy those details into campaigns, group chats or appointment comments visible to staff who do not need them.

Set up one verifiable message in BotMarketing

In BotMarketing.pro, begin with a consultation or service card: a clear name, price and actual duration. Where service selection requires professional assessment, direct the client to a consultation. Choosing a time in the Mini App creates a Requested reservation. Staff need to review and confirm that request separately.

BotMarketing automatic messages use a configured schedule. You can select a specific connected chat or a predefined cohort; cohort delivery requires the client’s private chat with the bot. This is not a sequence triggered by treatment completion or a calendar of individual clinical recommendations. The “inactive customers” cohort means no orders for more than 30 days, not that a client is due for treatment.

  1. Choose one agreed operational contact and check the booking. Select the client’s private chat rather than the practice’s group chat.
  2. Create a one-time message for the agreed date and time in the company’s time zone. Do not use a daily or monthly repeat for a single appointment.
  3. Enter the verified text and actual details. Copying a template does not itself populate the client name, appointment date or document link.
  4. Assign a person to check changes before dispatch and handle replies. Automatic messaging requires the relevant permission and the Telegram-bot feature in the subscription.
  5. Use your own test chats to check three cases: an unchanged booking, a rescheduled booking, and a client who declined further invitations. Ensure stale messages are no longer scheduled and personal information does not reach extra recipients.

If you cannot reliably distinguish the intended recipients from already-booked clients or people who declined invitations, check and send the agreed message manually. There is no arbitrary audience builder, and predefined cohorts are recalculated at dispatch. A customer record alone is not a reason to send every kind of message.

The result of the test should be a clear working process: a known basis for contact, an accurate date, an assigned person for changes, and a practitioner for personal questions. Repeat that process for other clients while leaving individual service decisions with the practitioner and the client.
