After a consultation, different decisions are possible: another appointment is agreed, the client is invited to contact the practice later, or the work ends at this stage. The absence of a new booking does not explain the outcome of care or make someone an “overdue” client.

A dietitian and receptionist need a clear route from enquiry to the next agreed administrative action. This guide provides an appointment-information checklist, four confirmation steps and neutral messages. Keep information reception needs to arrange the appointment

Scheduling does not require a diagnosis, test results, weight, medication list or food diary in the booking comment. The professional determines preparation and how clinical material should be supplied. A name and the appointment itself are personal information too; restrict access to staff who need it for their work.

Review the format before confirming the request

BotMarketing.pro service cards present a price, description and duration. Mini App booking requires enabled reservations, an eligible service and an active schedule. The client selects a time, but the request alone does not establish that remote care or a particular appointment format is suitable.

  1. Request: the client chooses a service and time. The Mini App creates a new order and linked Requested reservation. A comment of up to 1,000 characters is saved in both; ask for administrative details only.
  2. Format review: reception checks in-person or remote preference, location and time zone. Professional suitability goes to the dietitian through the established process, without collecting health history in the booking chat.
  3. Confirmation: check the complete interval, service, fee and location, then tell the client what has been accepted. Payment, rescheduling and cancellation terms should be clear before agreement. An order does not confirm the time.
  4. Next contact: after the consultation, record the agreed administrative decision: a specific next session, an agreed invitation to choose a time, or no further contact.

If remote care is unsuitable, the professional proposes an appropriate format. A service change needs a new duration and availability check; a comment does not extend the original interval. Rescheduling changes the actual reservation, not just a message. Booking against an existing order connects time to the same service without a second order for that stage.

Give preparation through the agreed process

Provide general instructions on joining, where the established preparation process takes place and whom to contact. Do not invent a universal test list or directions to change food intake or medication; preparation content belongs to the professional. A messaging app being available in another country does not establish that professional remote care is available there. Check permitted locations and conditions separately.

Remind clients of an agreement rather than a need for treatment

A reminder of a confirmed appointment and an invitation to choose a next date are different messages. The first has a real booking; the second has no accepted time yet. The professional and client determine follow-up rather than a single mailing interval for everyone.

This neutral reminder refers to a fictional confirmed meeting. The date and 30 minutes are illustrative, not a standard appointment length:

A reminder of our agreed appointment on 20 October, 3:00–3:30 pm [time zone]. Format: [in person — address / remote — joining instructions]. For rescheduling or cancellation, contact [administrative contact]. Preparation instructions are available through [agreed channel]. Please send health documents and personal care questions through the professional’s established process, rather than replying to this message.

If follow-up was discussed but no date selected, use a different message:

We agreed to discuss a time for another appointment. Would you like to choose a date now? Contact [contact] and we will check availability. There is no new booking yet. Please let us know if this contact is no longer wanted.

The message does not need weight, diagnosis, measurements or a judgement of adherence. Use the agreed private channel rather than a group. A declined invitation ends those contacts; clarify an existing appointment separately. After a completed one-off session, do not launch a “time to return” series simply because there are no new orders.

Check a scheduled BotMarketing message separately

A one-time automatic message can target a specific private chat connected to the bot, at a time in the company’s time zone. It requires automatic-messaging permission and the Telegram-bot subscription feature. Check the actual reservation, recipient and agreement before sending; separately correct or pause the scheduled message after a reschedule or cancellation.

This runs on a schedule, not immediately when a consultation ends. The predefined inactive cohort follows a lack of orders for more than 30 days; it does not know the clinical plan and is not a list of clients needing follow-up. There is no arbitrary builder of clinical conditions. Assign between-session questions to the right person

Reception can help with dates, location, connection and payment terms. Personal questions about nutrition or health go to the professional through the agreed care channel. Test three situations with your own contacts: an initial enquiry with a scheduling question, a rescheduled confirmed appointment, and a client who has not agreed to another contact. The first should have a clear confirmation route, the second an accurate time and message, and the third no automatic series. Requests, professional care and later contact should reflect actual decisions rather than a target number of visits.
