Candle Orders in Telegram: Variants, Custom Batches and Reorders

A customer asks for “the candle I bought last autumn.” You remember the scent, but that collection had two sizes, a different vessel and a gift box. Another buyer needs forty-eight candles with a company label by an event date. One request may fit a stocked product; the other needs material, artwork and production checks.

Describe a candle the customer can identify again

A collection name and an attractive photograph do not identify the variant purchased. Give each supported combination of fragrance, size and vessel a clear code in the name or description. Describe scent without promises to treat anxiety, improve sleep or be suitable for every fragrance-sensitive person. Provide verified maker instructions. The National Candle Association's safety guidance covers attending a lit candle, using a stable heat-resistant surface and keeping it away from flammable objects, children and pets. General advice does not verify your particular product.

Set up the stocked-product route in BotMarketing

  1. Create the goods catalogue. In the company portal, add categories and separate supported combinations of fragrance, size, vessel and packaging. Enter a unit price, description and photographs. Keep currently offered products distinct from past custom-work examples.
  2. Control availability. Enable Active and order actions for an offer you can fulfil. Enter stock for a finished batch: leaving it blank means unlimited. Account for craft-market or other shop sales manually unless a separate stock connection has been configured.
  3. Connect the bot and test Mini App. Use a customer account to follow product → cart → quantity → checkout comment. Share the tested bot link on your company page, social profile or packaging QR code.
  4. Review the received order. Open it in the portal and check variant, quantity, fulfilment and total. Through the order conversation with the connected bot, explain acceptance, collection or delivery timing and payment. Keep the agreed details in the staff note.
  5. Complete the real handover. Mark payment after checking receipt. Use actual order statuses: Processing, Delivery when dispatched and Fulfilled after handover. Explain production and readiness in messages.

Creating a goods order reduces item stock, so keep quantities current. Opening a New order with management access changes it to Processing; that does not confirm the date or start manufacture. There are no built-in “artwork approved” or “poured” statuses. An item's payment link does not establish payment for the whole cart.

A returning buyer can send this template through bot support, or add a short version to the Mini App cart comment, which allows up to 1,000 characters. This is example text, not a compulsory product form:

“Repeat of order C-116: CC-220, Citrus & Cedar, amber glass, standard box, two units. Needed by 6 November; local collection. Please confirm whether the variant or ingredients have changed, plus the current price and ready date.”

Compare the old order with today's card. In this fictional example, two candles at $28 total $56, excluding carriage. Explain any change in fragrance, wick, wax weight or packaging before acceptance. A similar name does not make the products identical. Place a new order after checking; do not assume there is an automatic copy-order button.

Agree a custom batch before taking the product order

Gather the brief before promising a date

A batch needs artwork approval, vessel sourcing, manufacture and packing as well as candles. For an industry example, Sugarspell's corporate-gifting process separates scent and label approval from production. Its minimums, prices and lead times are that supplier's terms, not a benchmark to promise for your own workshop.

Explain the custom-order route on your company page. The buyer opens bot support through /support or its button and sends the brief. Staff reply from support requests; keep a long specification and artwork files in a separate working document. Receiving that message does not create an accepted goods order.

  • Quantity, occasion and the date the recipient must have the items.
  • A stocked-product code or preferences for fragrance, weight, vessel and colour.
  • Exact label wording, logo source and the person authorised to approve artwork.
  • Packaging: individual boxes, a shared transport carton or another agreed format.
  • Collection or delivery, one destination or several, and whether the budget includes carriage.
  • Whether a sample is required and the deadline for approving it.

Keep one accepted specification

Check materials and production time, then quote quantity, contents, full total, arrival requirement, payment and change terms. Record the artwork version and explicit buyer approval. Do not send a revised label to print from a new chat request without checking cost and timing.

Once agreed, create a separate goods item for the complete approved batch at the exact batch price and agreed terms. The customer orders one complete batch through the catalogue; the maker controls that item's availability. Put the accepted specification reference in the staff note and send the buyer a short confirmation. The record does not automatically allocate moulds, wax or production-calendar capacity; reconcile work and payments separately.

Send the requested stock update with the buyer's permission

After handover, ask whether the buyer wants one notification about a particular restock or updates about a specified range. Record permission and refusals in your working records. A gift purchase does not supply the recipient's marketing consent. Do not schedule the same “one month later” message for everyone: you do not know how much of the candle they have used.

This is a fictional message after a manual stock check. Insert your actual catalogue link and act on a refusal; the wording does not claim automatic unsubscription. If the usual fragrance is unavailable, ask whether the buyer wants an alternative rather than presenting a new formula as the old one.

Before launch, test a stocked purchase, sold-out variant, repeat purchase with a changed formula and a custom enquiry without approved artwork. Check that staff distinguish requests from acceptance and do not announce an unfinished batch as available.
