A student asks to move a lesson, a parent remembers the original time, and a weekly reminder still follows the old schedule. More messages will not settle the problem: one appointment now has competing versions. The tutor needs an agreed route for changes and a clear record of the confirmed time.

Follow a fictional month of four individual lessons, with one reschedule, a contact-role table and ready-to-adapt messages. BotMarketing can present a lesson format, receive a time request and send an administrative message. The tutor remains responsible for the schedule, communication arrangements and teaching.

Agree who manages appointments before booking

A service card should identify subject, level, format, duration, fee and what a lesson includes. Initial booking needs practical details such as suitable days, time zone and the agreed contact. Do not promise a grade, exam score or learning speed; the tutor discusses whether the format fits the learner separately.

In this fictional example, a school pupil has one 60-minute online mathematics lesson a week. The parent agrees times and pays; the pupil prepares materials. One nominated adult receives all appointment messages. The child does not need a separate Telegram account: the parent passes on the date and preparation note. If another adult pays, clarify their role: payment does not establish access to all messages or learning information. An adult student agrees their own schedule and recipients; do not add a parent automatically. When a contact changes, verify who you are speaking with and the agreed authority before updating message delivery.

For work with a child, establish professional boundaries, appropriate channels and a route for raising safeguarding concerns before lessons begin. Agree expectations with the family and check age suitability and requirements in your setting. A Telegram chat does not verify an adult's authority or replace safeguarding procedures. Performance, health and family details should not appear in a public channel or bulk message.

Turn a recurring time into specific lesson dates

“Every Tuesday at 5 pm” describes a pattern without covering its exceptions. Check dates, tutor availability, school breaks and time zones before the month starts. Agree cancellation notice, make-up arrangements and payment treatment separately. Those terms do not appear automatically when a slot is selected, and should not be changed after the event.

The fictional pattern is 3, 10, 17 and 24 November 2026, 5–6 pm Europe/London time. After agreement, the 17 November lesson moves to Thursday 19 November at the same time. The final plan below contains four lessons, not five.

BotMarketing time selection requires an active service card with booking enabled and an available schedule. A Mini App time request creates an order and a reservation in Requested status; the tutor reviews and confirms the appointment. An eligible existing order supports booking without a second order, but one service does not automatically become a series of independent reservations. Check every lesson date rather than treating a purchased package as a completed monthly calendar.

The booking account and the learner may be different people. An order associated with a parent does not automatically create a child profile or access rights for other family members. In your administrative record, relate each lesson to the agreed learner and responsible contact using only necessary information and restricted access. Booking comments do not need diagnoses, detailed marks or personal histories.

Finish a reschedule with one current agreement

If the pupil asks about another time, clarify the request and agree the change with the person responsible for appointments. Asking about Thursday does not cancel Tuesday. If the family explicitly cancels, confirm cancellation separately; do not hold the old slot until they choose a replacement.

A proposed time has not changed the calendar

This fictional reply goes to the nominated parent while discussing a move:

I can offer an online lesson on 19 November, 5–6 pm Europe/London time, instead of 17 November. The original 17 November appointment remains booked for now; Thursday is not yet confirmed. Check availability before offering the time. If two families are interested, decide how the slot will be assigned rather than treating it as confirmed for both. Do not collect two payments for one available appointment.

The parent's confirmation includes a pupil-facing note

After agreement, update the booking and calendar, review the old reminder and send the final message only to the nominated contact. Here is the fictional confirmation:

The move is confirmed: the 17 November lesson is cancelled and replaced by an online lesson on 19 November, 5–6 pm Europe/London time. The fee for one lesson is unchanged; no additional lesson has been added this week. The 24 November booking stays as agreed. Join using the previously agreed link.

Please pass this note to the pupil: “This week's mathematics lesson is on Thursday 19 November at 5 pm. Have your notebook and the material discussed in the previous lesson ready.” This message replaces the old time; no separate confirmation from the pupil is needed.

The unchanged-fee condition was agreed beforehand in this example. If your arrangements have a different consequence, explain it to the responsible adult first. A new time request is not a reason to add an unexpected fee or second charge.

If an older pupil has a permitted separate learning channel, agree what goes there and how the adult stays informed about changes. Keep one authoritative appointment confirmation; delivery to two chats does not establish family roles. Safeguarding concerns need your separate professional procedure, including decisions about safe information sharing, rather than automatic forwarding of every detail to a parent.

Make the reminder follow the current appointment

A reminder needs the confirmed date, time zone, format, joining route and contact for a practical problem. Leave out attainment judgments and the family reason for rescheduling. This fictional message refers to the confirmed lesson:

A reminder of the online mathematics lesson on 19 November, 5–6 pm Europe/London time. Please use the agreed joining link, pass the current date to the pupil and check access to the materials. If the time or connection is a problem, reply here so I can check the practical arrangements.
