A speech therapist needs to distinguish the initial appointment, the professional decision about further work and the dates that are actually confirmed.

Keep the first enquiry short enough to arrange a reply

If an exact age, referral documents or other information is necessary, the practitioner requests it through the practice's approved process. A general enquiry does not need a full developmental history, diagnoses, reports or recordings of the child. A stated family role is not proof of authority to consent or receive findings: verify those arrangements separately. An adult client establishes their own arrangements or works through an authorized representative.

Confirm the initial appointment without promising ongoing acceptance

Send the agreed contact the date, time zone, address or joining route, duration, fee and who should attend. Preparation and required documents depend on the practice; another provider's checklist is not a universal requirement. Professional titles, referral, consent, funding and telepractice arrangements vary by setting. The practitioner checks what applies rather than treating an online slot or payment as approval.

After the consultation or assessment, the professional discusses an appropriate next step with the client or family. It may differ from the initial request. Reception can coordinate appointments but should not choose an intervention from words in the enquiry. A payment or completed assessment should not automatically sell a programme, set session frequency or promise a communication outcome by a particular date.

Give recurring sessions, waiting and a pause different routes

If further work is agreed, separate the professional plan from the calendar. The practitioner and family determine frequency, duration and review; available slots do not make that decision. Use this appointment sequence:

  1. Agree the format, responsible adult and payment, cancellation and time-change terms.
  2. Turn the agreed pattern into specific dates, checking holidays and family and practitioner availability.

Do not promise an opening date without evidence or collect payment for an unconfirmed appointment time. The practice sets responsibility and the offer process. Questions about support while waiting go to the practitioner; a campaign should not select exercises from age or keywords.

When the family requests a pause

Clarify which future appointments are being cancelled and whether the family will contact you or agrees a separate administrative follow-up. Reception does not decide the professional implications of a pause. Missing orders are not a reason to warn that the child will “lose progress”.

Make reminders repeat the appointment rather than clinical details

Choose one verified contact responsible for attendance. Leave out diagnoses, assessment results and family circumstances.
