How to Check Rental Availability and Manage Orders in BotMarketing

A camera kit is back at 11:00, but its batteries are still charging. A dress has returned, but garment care is not finished. A rental operator needs to know when a particular item and its accessories are ready for the next customer. This guide provides item records, a full allocation timeline and a BotMarketing workflow from enquiry to return.

Show the model in the catalogue and track the individual item

Several copies of one model can have different condition records and accessories. Assign each a reference and keep its allocation in a rental system or shared ledger. Staff need to see pickup, return, preparation and the next order against that reference.

Ask for the item and quantity, rental start and end, pickup and return location, and accessories. For clothing, establish size and fitting needs; for equipment, check compatibility and intended use. All references, dates, prices and time allowances below are fictional examples, to be replaced with your verified terms.

An equipment kit record

  • CAM-07: one camera, a compatible lens, two batteries, a charger and a case. Check component identifiers at both handover and return.
  • Rental price: $90 for one kit for 48 hours with local pickup. State security arrangements, extra services and changes to the hire period separately from that price.
  • Condition and scope: record the function check and existing wear, and provide instructions for the supplied model. A memory card is not included in this example.

CineRentals’ FAQ distinguishes equipment preparation and the product’s accessory list. Its own terms include inspection and testing before dispatch. Define what your kit contains and how your team verifies it; do not copy another operator’s billing or protection arrangements.

A garment and accessory record

For the example dress D-08, publish the actual measurements and your size label, plus the included belt, garment bag and hanger. A size number alone is insufficient across international sizing systems. Record the fastening and decoration condition at handover, and state who handles garment care. A fitting appointment checks fit; it does not allocate the dress for an event.

OneDayDress’s FAQ, in Russian, separates fitting, reserving the chosen garment and preparing it for collection, with cleaning after hire. Your preparation time and payment terms need to reflect your own process.

Allocate through the next readiness check

Turn “19–21 November” into exact times in the pickup location’s time zone. In this example, CAM-07 is hired from 19 November at 11:00 until 21 November at 11:00: 48 hours. Two hours of preparation before pickup and three hours after return make the planned allocation 53 hours. A late return or failed check extends it.

The same three-hour allowance will not fit dress D-08 if its example cleaning and steaming process takes a full day. A return on 21 November at 11:00 means expected readiness no earlier than 22 November at 11:00, subject to the provider’s confirmation. Set turnaround by item and process.

Manage the enquiry and rental in BotMarketing

  1. Build usable catalogue cards. Create a rental-services category with garment and kit cards, photographs, prices and contents. The standard CAM-07 card costs $90 for the full 48-hour package; one order unit means one kit. Connect your Telegram bot and Mini App. Leave ordering disabled for custom scope or pricing and direct the client to support.
  2. Collect the period through support. The client sends the item, dates, times, location and accessories. Their message appears in support requests, where staff can reply. Check the individual-item ledger manually: previous return, every component, turnaround and the following order. Acknowledge the enquiry before promising the item.
  3. Connect the agreement to a normal order. After the standard package is checked, the client orders it from the catalogue and adds the agreed dates and contents in the comment. In orders, staff take it into processing, record the asset reference and terms version in an internal note, and send a precise confirmation in the conversation. Add the order number to the rental ledger. Keep time bookings disabled in the bot settings for this normal rental flow: the card’s duration describes the package rather than managing asset availability.
  4. Keep handover and changes in the order conversation. Send the pickup time, address, contents and return instructions. At handover, check the item against your documents and record condition in your rental records. Check any extension against the same asset reference; save the revised agreement in the note and message. BotMarketing keeps the conversation; staff perform inspection and rental-period calculations.
  5. Finish after the actual checks. Record the return and inspection result, settle the agreed outstanding actions, then mark the order fulfilled. Record readiness for another hire separately in the rental ledger. The order history helps with a later enquiry; check the new period and item condition again.

Use appointment slots for an actual meeting

A fitting or short equipment briefing can be a separate service with a duration and schedule. If you enable bot bookings for that use, check every card’s customer journey: a meeting slot must not look like a confirmed multi-day hire. A requested slot occupies the schedule interval but does not check kit components in your rental ledger.

Goods stock is a quantity check, not a rental calendar: an order reduces a limited stock count. The returned order status does not inspect, clean or automatically restore a ready-to-hire asset pool. Use services and separate item allocation for the process above. Track any security payment and its release separately from the order’s paid marker.

Answer an extension or shortage with a checked alternative

Keeping CAM-07 until 22 November at 11:00 would conflict with its next handover on 21 November at 16:00. An offer to pay more does not resolve that conflict. Check another complete kit before proposing a swap. CineRentals’ FAQ also makes extensions dependent on later reservations; its online extension tool and pricing are not BotMarketing features.

We cannot extend CAM-07 until 22 November at 11:00: after inspection it is needed for the next order on 21 November at 16:00. Your agreed return remains 21 November by 11:00, local time. If the item will not be ready

A late return, missing belt or failed battery affects the next hire. Mark the asset unavailable, contact the affected customer and offer a checked alternative. Agree any change of model, size or contents before substituting it.

Dress D-08 is not ready after garment care, so we cannot confirm collection on 22 November at 11:00. I have checked D-12 for your dates, but its size and measurements differ. May I send the card and arrange a fitting? Until a replacement is agreed, the original offer has not been fulfilled. We will discuss payment and next steps separately.

Do not invent a late fee or promise an automatic refund in the message. Check the facts against your agreed terms and records. The conversation supports the rental process; it does not replace the hire agreement or condition report.

Complete the return before inviting another hire

First finish the contents check, condition record, preparation and outstanding payment actions. Then make a new enquiry easy: send the same kit card for another production or the relevant garment category. Previous order details help staff recall the agreement, but do not establish current availability.

Ask separately whether the client wants updates about new garments or seasonal equipment, and record the answer. An enquiry, or the contact details of someone who only dropped off a return, does not represent a subscription to promotional offers.
