Pilates Studio Bookings: Check the Room, Teacher and Reformer

A visible appointment time does not mean a Pilates studio can confirm a reformer place. The class needs an instructor, a room, working equipment and an eligible client pack at the same time. Miss one check and reception may promise something the studio cannot provide.
This example follows a request for a small reformer class: what reception checks, when confirmation can be sent and what happens if the instructor changes. All people, dates and conditions below are fictional. This is an operating example, not a BotMarketing customer case.
Take a request for a specific class
The service card should explain format, level, duration, venue, instructor and booking route. Include first-visit requirements, payment, cancellation and pack eligibility. Capacity must apply to this room and class; the studio's total number of reformers is not the class limit.
Our fictional class is “Beginner Reformer”, 19 November 2026, 6 pm–6:50 pm, Europe/London time, Anna teaching in Room A at 8 Garden Street. The maximum is four students. The studio requires an introductory session before joining the first group. The card directs clients to reception through the bot to request a place, without promising instant confirmation. A returning client's message:
Could I join Beginner Reformer on 19 November at 6 pm in Room A? I completed my introduction on 2 November. I have a four-class pack and think one credit is left. Please check whether I can use it for this class.
Reception checks the introduction record and balance, rather than treating “one credit left” as proof. Format questions go to the instructor. A bot does not provide medical clearance or promise treatment outcomes; diagnoses and detailed health information do not belong in a general booking request or notification.
BotMarketing can present the service in its catalogue and provide a Telegram enquiry route. That request is separate from reception's final confirmation.
Check resources before saying “you are booked”
Assign one person to the final response and use one current class register, whether a working spreadsheet or the studio's dedicated booking system. Check resources and places there, with a separate pack ledger. Two receptionists should not confirm the last place from different copies of a list.
Three students are already confirmed in our example; this request would be the fourth. The table shows why reception cannot accept it yet.

Spare equipment does not resolve the room conflict. Do not remove necessary setup time merely to fit a request into a visible opening. Send an interim reply while you resolve it:
I have your request for 19 November. Your pack and introduction have been checked, but I am confirming room availability for setup. Your place is not confirmed yet, and no additional payment is due. I will send an outcome today by 3 pm.
That response deadline is the fictional receptionist's commitment, not an automatic BotMarketing service level. The product checks overlapping reservations within one schedule; it does not coordinate every room, teacher and reformer or count group places. Goods stock is not an equipment-availability counter or a service-credit ledger.
Confirm only after the conflict has been resolved
In our example, the private client and their teacher agree to move their session to 4:40 pm–5:30 pm. After their booking is updated, there are 15 minutes before setup starts at 5:45 pm. Without their agreement, offer the group requester another genuinely available time; do not silently move an existing appointment.
- Maria updates the private booking and checks that Room A is available for the full 5:45 pm–7 pm allocation.
- She rechecks Anna, the five available reformers and the four-student class limit. Any instructor or equipment change triggers another check.
- She adds the fourth confirmation to the class register and allocates one pack credit to this date. Neither the place nor the credit is offered to another request.
- She sends the client a final confirmation and shares the current attendee list with the teacher, without copying medical information into it.
You are booked for Beginner Reformer on 19 November, 6 pm–6:50 pm, Europe/London time: Anna, Room A, 8 Garden Street. Your place is confirmed and one pack credit is allocated to this date; no top-up is due. Please arrive by 5:50 pm. The cancellation and rescheduling terms agreed when you bought the pack still apply. Reply here if you need to change the booking.
The client receives one clear outcome. Behind it are separate studio checks, without claiming that a Telegram Mini App replaces resource-management software.
Keep a class pack separate from a reserved place
The fictional pack includes four beginner group classes and is valid from 1–30 November inclusive. Private sessions are excluded. Three credits have been used. The fourth is allocated to 19 November but has not been marked as attended yet. It is unavailable for another booking: the ledger needs to distinguish used, allocated to a date and available credits.
Before sale, set out when credits are deducted, cancellation and no-show treatment, pauses, refunds and studio cancellations. Buying a pack does not reserve four class places or a standing appointment. Do not promise native automatic pack balances, freezes or recurring series in BotMarketing; the studio maintains this ledger.
After the class, reconcile attendance and balance. For a cancellation, apply the agreed terms, record the reason and check other bookings against that pack, rather than returning or deducting a credit from memory. For a detailed individual-session example, see the personal trainer package workflow.
An instructor substitution needs another check and a message
If Anna is unavailable, the studio lead first checks who can teach this format, their schedule and equipment availability. Do not automatically substitute a mat class for reformer or increase capacity because of a different layout. Changes to format, price or participation conditions need separate agreement.
In this fictional case, Elena agrees to teach the same class; the room, four places and pack terms remain available.
Elena will cover Anna's confirmed class on 19 November, 6 pm–6:50 pm. Beginner Reformer, Room A at 8 Garden Street and your pack terms remain the same. Please reply to acknowledge the change. If the substitution does not work for you, contact reception so we can discuss rescheduling or cancellation options and credit treatment under the agreed terms.
Update the class card and working register, and give the new teacher the attendee list. Check scheduled messages: the old reminder naming Anna needs amendment or cancellation. A different audience needs a new scenario; an existing audience cannot be changed, and sends do not automatically reconcile with a manual register.
Test the workflow with requests involving a room conflict, unavailable reformer, expired pack and instructor substitution. Reception must be able to stop confirmation and explain the next step.
