Personal Training Packages: Session Balances and Telegram Bookings

A client buys eight personal-training sessions, attends two, cancels one and books the next. Are five sessions left, or six? If the future appointment has already been deducted, the trainer and client may reach different totals. A Telegram conversation can settle a time without establishing when a session counts as used.

This guide provides example package terms, an attendance ledger and messages for booking, cancellation and balance checks. It is for independent trainers and staff who manage their appointments. BotMarketing can present services, receive time requests and send scheduled messages; the purchased session balance needs a separate, checked record.

Define the package before counting its sessions

A single session, a session package and gym membership are different offers. State the number and length of sessions, trainer, format, venue, total fee and whether gym entry is included. Add the start and end dates, booking route, cancellation terms, trainer substitutions, pauses and the route for questions about unused sessions. The client should see these conditions before buying.

Consider a fictional package: eight individual 60-minute sessions for USD 400, including gym entry. It runs from 1 through 30 November 2026; appointments use Europe/London time. Each session needs its own agreed time. These dates, fee and conditions are illustrative, not a pricing benchmark or a recommended exercise schedule.

In this example, a client cancellation at least 24 hours before the appointment does not use a session; a trainer cancellation does not reduce the balance either. These are the example's chosen terms, not an industry rule. Define late cancellations and no-shows separately before the sale. Check the applicability of your terms, refund process and expiry conditions in your market; do not introduce a deduction or refund restriction after the event.

A pause needs agreed dates and an updated end date. Changing the trainer or replacing an in-person session with an online session also needs agreement; silence in chat does not approve either change. Professional screening and exercise programming remain with appropriately qualified people. Payment and a booking do not establish exercise readiness, and ordinary booking comments should not become a store for medical histories.

Keep used sessions separate from future appointments

Choose one package record, such as a spreadsheet with restricted access maintained by the trainer or administrator. Include the package reference, order or payment evidence, agreed terms, opening quantity, date and outcome of each session, balance adjustment, responsible person and reason for any correction. The ledger below is a manual example, not a BotMarketing screen.

The balance is 8 − 2 = 6. One of those six sessions has a confirmed future time; five remain unscheduled. Entitlement to sessions and reserved future time are separate figures. Deducting the appointment when it is booked and again when it is delivered would count one session twice.

Orders and messages are not attendance records. A cancellation can release a slot without consuming a session, while a late cancellation may have a different agreed consequence. Record the outcome and its basis separately. Correct an error with a dated adjustment and named owner so that the change can be explained, rather than silently replacing the total.

In the verified BotMarketing workflow, orders, reservations and loyalty programmes do not form an automatic prepaid-session balance. A visits programme records progress towards a reward; that progress is not the balance of a purchased package. Check purchased quantity and recorded outcomes in your chosen ledger before sending a balance message.

Check appointment changes separately from the package

BotMarketing service cards support price, description and duration. Time selection requires an active service with booking enabled and an available schedule. A Mini App request creates an order and a reservation in Requested status; choosing a slot does not confirm the trainer's agreement or check the package balance.

Decide how each package session will relate to an order and the ledger before offering the booking route. An eligible existing order supports reservation creation without a second order. However, one service in an order does not become eight independent reservations: its existing reservation may be updated. Test how each separate session will be booked; do not ask clients to repurchase prepaid sessions simply to select a time. The slot duration represents one appointment, not the whole package.

Confirmation identifies the trainer, time and payment basis

Review the balance, validity and actual trainer and venue availability when a request arrives. Check every date for a regular schedule: “we train on Tuesdays” does not reserve all future appointments. Update the booking after agreement and send a clear confirmation. This fictional message matches the ledger above:

Your individual session is confirmed for 12 November, 6–7 pm Europe/London time, at our studio with your agreed trainer. It is covered by your prepaid package; no additional session or entry fee is due. The ledger shows 6 of 8 sessions remaining, including the appointment on 12 November. Reply here to request cancellation or rescheduling; the previously agreed package terms apply.

A cancellation releases time; a proposed move needs agreement

If the client explicitly cancels, cancel the appointment and confirm the result. Do not hold the original slot until they choose another date when they have already withdrawn from it. If they only ask about an alternative, clarify whether the original appointment stays in place and confirm a replacement after agreement. Chat explains the change; the booking and ledger record it.

Your 7 November session is cancelled and the time has been released. Your notice met the agreed cancellation terms, so no session has been deducted: 6 remain. No replacement appointment is booked yet. If you would like another time, reply with suitable days and I will check availability and confirm the agreed option separately.

This fictional reply relates to the 7 November entry. For a trainer cancellation, explain the practical change, confirm no deduction and offer genuinely available alternatives. A replacement should not quietly shorten the usable package period; record any agreed pause or extension with the client. Check the old scheduled reminder as well, and amend or pause it when needed.

A balance message makes the agreement checkable

An appointment reminder and a balance message have different purposes. The reminder repeats confirmed time, location and the route for changes. The balance message shows used sessions, future appointments and the end date so the client can spot a discrepancy. Answer a question about the current package before proposing another purchase.

Here is a fictional balance message for the ledger as of 10 November:

I have checked your package record: two sessions were delivered on 3 and 5 November. The cancellations on 7 and 10 November did not reduce the balance. You have 6 sessions remaining: one confirmed for 12 November, 6–7 pm Europe/London time, and five not yet scheduled. Your package runs through 30 November. If your records differ or you need a pause, reply here so we can check the details and discuss an available option.

Do not suggest squeezing all remaining sessions into a few days simply to meet an end date; the trainer assesses an appropriate schedule separately. If suitable times are unavailable before expiry, review availability and the agreed terms first. Do not hide the balance or declare it automatically forfeited. Unused-session questions and refund requests need a human response under applicable terms and local rules.

Specify whether the end date applies to delivery or merely to booking. In this example, 30 November is the last delivery date without a separately agreed extension; booking a December appointment before that date does not extend the package. Record the previous and revised dates and the reason for an extension. At expiry, record the final unused balance and the response to any client request rather than relabelling unused sessions as delivered.

Test three situations with your own test contact: booking within a paid package, cancellation within the agreed notice period, and a balance check before expiry. Verify that no duplicate payment is requested, cancelled time is released, the balance matches the ledger and the message states the current agreement. Reminders become useful when the client can also see what they have bought and what remains.
