How Photographers Can Confirm a Shoot and Manage the Order in BotMarketing

A request for “a photo session” might mean one headshot for a company profile or a family gallery with twenty finished images. Before offering a time, establish what the client needs to receive. This guide includes a short enquiry brief, a package comparison and a BotMarketing workflow for confirming the shoot, handling a change and delivering the photographs.
Find out what the photographs need to do
Your portfolio helps a client recognise your style; the enquiry establishes the job. Ask these seven questions in a support conversation before confirming a package.
- What are we photographing, and for what purpose: a profile headshot, a family session, website content or an event?
- Which shoot dates work, and when must the finished images be available?
- Where will we shoot? Who checks, books and pays for the studio or other location?
- How many people will take part? Are there children or pacing requirements to accommodate?
- What needs to be delivered: image count, file format, print products and essential combinations or shots?
- Which two or three references help explain the desired background, clothing and mood? What does the client like about them?
- What is the budget, and where will the photographs be used? Discuss the scope and terms of commercial use separately when relevant.
For an event, also establish the coverage period, a location contact and moments that must be photographed. For a brand project, discuss the production and usage requirements before quoting. These jobs need a conversation before they become a bookable appointment.

Describe the finished work in the package
The packages, prices, dates, image counts and deadlines below are fictional examples. Replace them with terms you can deliver. Include who chooses the images and the event that starts the editing deadline.

Use the brief to choose the package
Two adults and a child want group photographs and individual portraits. The family session fits that brief; the single-person headshot package does not. If studio hire in this example costs $80 separately, the total expense is $400: $320 for the photographer and $80 for the room. State who books it and whether the hired interval includes setup.
A delivery deadline also needs a selection deadline. In this family example, the seven calendar days start when the photographer receives the client’s choices. A late selection moves the delivery date. Agree a revised quote before adding images, complex retouching or faster turnaround.
Run the enquiry and booking through BotMarketing
- Create the services you actually offer. Add catalogue cards for the headshot and family packages, with photographs, prices, deliverables and durations of 30 and 60 minutes. For a custom event, leave ordering disabled and direct the client to support. Connect your Telegram bot and Mini App so clients can reach the catalogue and send enquiries.
- Collect the brief in support. The client’s message appears in customer requests, where you can ask questions and reply. Check the location, travel, total cost, rescheduling terms and delivery dates before recommending the package. Send a summary of the agreed version.
- Make suitable appointments available. Enable bookings in the bot settings and allow orders for the standard service. A solo photographer should use one shared company schedule across formats: availability is checked within a schedule, so separate service schedules can overlap. Check the time zone and allow time for preparation. External studio availability must be checked separately.
- Review the request before confirming. The client chooses a service and time in the Mini App and adds the agreed format and participant count in the comment. This creates an order and a requested reservation, which already occupies the interval. In bookings, check that the request matches the brief and the room is secured, then confirm it. The bot sends a status notification. Send the detailed agreement in the linked order conversation and record its version in an internal note.
- Continue preparation and delivery in the order. Send the address, arrival instructions and anything the client should bring. After the shoot, tell them when previews or finished images will be ready. Send the external gallery link in the order conversation and mark the order fulfilled after delivery. Leave room between mini sessions
For a fictional 30-minute mini session, availability windows of 10:00–10:30 and 10:45–11:15 leave a 15-minute gap. Set the service duration to 30 minutes; a continuous window will not add that buffer for you. A requested reservation occupies its interval until cancelled, so do not promise an automatic hold expiry.

Reschedule the agreement as well as the appointment
If someone is ill, a room closes or outdoor conditions change, check an alternative before proposing it. The photographer, location, price, deliverables and final-image deadline all need to fit. Check the studio’s payment arrangements separately from your own.
We need to move your 8 November session at 10:00 because the room is unavailable. I have checked an alternative for 10 November at 14:00 in the same studio, local time. I propose keeping the family package: 60 minutes and 20 edited images. We will confirm the room hire and revised delivery deadline before moving the booking. Does that date work? The new appointment is not confirmed yet; please do not travel to the original meeting.
BotMarketing lets you propose another available time on the existing reservation. An agreed appointment does not book an external studio; you or the client must arrange that separately. If the shoot is cancelled, cancel the reservation and handle any payment arrangements separately. Changing the status does not issue a refund.
Keep image delivery and portfolio permission separate
When the work is ready, state the file count, editing scope, download location and link expiry. In the fictional family example: “Your 20 selected JPEGs are ready. Here is the gallery; please download the set within 30 days.” Check that access period in your gallery provider before promising it.
EightFive Studios’ FAQ distinguishes selection proofs from finished retouched images and starts final turnaround after selection. That distinction can make your package clearer; their deadlines and extras do not automatically apply to your service.
Ask about specific portfolio images
Show the frames you want to publish and name the channels. Do not record a refusal or silence as permission. Check the arrangements for each participant; obtain the documents appropriate to your situation for minors or commercial use. The message below is an organisational example, not a substitute for those documents.
May I show frames 03 and 07 in my portfolio on my website and Telegram channel? I would not include names or other frames, and this request does not include advertising use. You can decline without changing your order or delivery. If you approve only one frame or one channel, please say which.
Keep the reply in the conversation and order note. BotMarketing does not provide an automated image-permission register. Payment or downloading the gallery is not your record of permission.
Make a return invitation relevant
After delivery, ask whether the client wants a message about a future studio day or headshot refresh, and record the answer. A new team member or a seasonal family project the client has asked about gives the invitation a purpose. Use the previous order to recall the format and constraints; check the new brief, location and date again.
