Hairdresser Client Records: Service History and the Next Booking

“Book me in for the same again” does not always mean the same service. A haircut client may now want color, and a familiar color-service name does not establish the same duration or price. A useful client database helps you find the previous appointment and agree the new request while leaving the service decision with the stylist.

Below are a working client-record example, two service-card options, a route for complex color enquiries and a next-booking message. The workflow suits an independent hairdresser or a salon where reception handles appointments.

Keep visit history and the next decision clear

Booking staff need to know who the client is, what actually took place, what they want now and who should reply. An old order reference is useful, but the order alone does not establish that the appointment happened. Do not treat a cancelled or merely requested service as completed work.

This fictional example is an operational-note template, not a list of built-in BotMarketing fields:

  • Client: Irina, reference to the agreed private conversation.
  • Last completed visit: 2 October, haircut with wash and finish; the stylist confirmed completion.
  • New request: wants to discuss a color change; color work not yet agreed.
  • Next booking: consultation requested, date being checked; no future haircut booked.
  • Next contact: reception reports the availability check; other service offers not agreed.
  • Responsibility: reception handles time and location; the stylist decides color-service scope and the next proposal.

Update the note after confirmation or rescheduling so another staff member can continue without reconstructing the decision from a long chat. Add preferences when they help deliver the selected service, rather than simply to fill a profile.

Reception needs the booking; the stylist needs the technical record

An operational note can say: “Consultation completed, service option agreed with stylist; client still choosing a date.” The stylist keeps color formulas, proportions, processing details, professional assessment and technical decisions in an appropriate specialist record. A customer database for orders and conversations does not replace that record.

Reception should not promise to reproduce a color from an old formula or copy it into a booking comment. The stylist first reviews changes to the request and starting situation. Restrict access to professional records and photos to people who need them for the service; leave them out of campaigns.

Separate a haircut booking from a color consultation

The two cards below are fictional catalog examples. Their duration illustrates scheduling, not an industry standard; replace it with the actual time your work needs. Enter the complete, actual price of the selected service.

Do not present the consultation price as the color-service price. If the consultation has a fee, explain before booking whether it is credited towards a later service under your actual terms. A “from” price without a clear scope should not look like a final quote.

You may have a separate card for repeat color work with a known scope. Use it after the stylist checks that it matches the current request. A substantial color change needs discussion even when the client has visited before.

A complex color enquiry reaches the stylist before service confirmation

Reception does not need to become a colorist. Its job is to collect the operational request and hand it to the person who decides what can be offered:

  1. Clarify the desired change and who should review it. Request only the information or photos the stylist needs, through an agreed private channel.
  2. Explain that the next step is a consultation rather than confirmed color work. Send its card with the consultation price, scope and duration.
  3. Check the selected time and confirm the consultation separately. Do not promise the full service immediately afterwards.
  4. After the discussion, the stylist defines the proposed scope, limitations, price and required time; the client decides whether to accept.
  5. Check a whole available interval for the agreed service and confirm the new booking. Update the operational note with the decision owner and anything still to be agreed.

In the fictional example, Irina chooses a 30-minute consultation and then asks for color work in the same slot. Adding “color too” to a comment does not extend the booking interval. If the work does not match the card’s configured duration, do not confirm it as a consultation: prepare the correct service option and check a suitable time.

The stylist may propose a different route or decline the work. Record the operational outcome without promising a result from a photo or suggesting the system selects the technique. Offer the next booking around the current agreement

After a visit, the client can choose a date now, keep a link to book independently, or agree to one later contact. Do not choose an interval merely because they have not ordered recently. If a future appointment already exists, communicate that booking rather than inviting them to choose a time again.

This message is for fictional Irina, who asked to be contacted on 20 October. Replace the placeholders with actual details before sending:

Hi Irina, you asked us to contact you on 20 October about your next appointment. If you are planning [agreed service], you can choose a time here: [booking link]. If you want to change the service or discuss different color work, reply here and we will clarify the request with your stylist first.

When the client replies, check the request, scope, price and duration instead of silently selecting the old service. Stop those invitations after a decline. No reply does not justify booking on the client’s behalf or sending repeated nudges. After rescheduling, correct pending messages containing the old date.

Test three cases using your own contacts: a repeat haircut with unchanged scope, a new complex color enquiry, and a request to add color to a consultation. In every case, the client should understand what is requested, what is confirmed and who will reply. Then reschedule one booking and check the operational note and pending message. This shows whether the history helps continue the conversation without making the wrong promise.
