A first message to a psychologist may simply ask, “Do you have availability this week?” Answering a scheduling question does not require a personal history. The person needs to know the format, fee, response time, how an appointment is agreed and what the messaging channel is for. Silence after that reply does not explain their condition or justify a sequence of return invitations.
This guide covers the first administrative reply, confirmation, reminders and rescheduling, plus a route for an enquiry that needs another service. The first reply explains the next step and the wait for a response
Your public profile and service card should identify whom you work with, the format, duration, full fee and location or joining method. For remote services, state the locations served and language. The practitioner checks qualifications and whether work is permitted where the client is located; access to Telegram does not grant professional authority across jurisdictions.
The following fictional first reply describes a practice offering online sessions to adults. Its fee, duration, hours and reply time illustrate terms rather than professional standards. The person responsible for scheduling sends it; it does not suggest that a bot has already assessed the enquiry:
Hello. You can use this channel to ask about our arrangements and request an individual online appointment for adults. A session lasts 50 minutes and costs USD 80. We check scheduling messages on working days, 10am–6pm Europe/London time, and normally reply within two working days.
To arrange a time, please tell us your preferred name, country and time zone, convenient days and whether a reply here in Telegram is suitable. Please do not send a detailed personal history or medical documents to the booking chat. After checking the format, we will confirm the date, payment and rescheduling terms separately.
This channel is for appointment administration and is not an emergency service. If you need immediate help, do not wait for a booking reply: contact emergency services where you are physically located.
State a response time your practice can maintain. If you are not accepting appointments, say so rather than promising an opening. If you keep a waiting list, agree permission to contact the person when a time becomes available. One enquiry does not authorise indefinite messages. The waiting list is an administrative agreement you manage, not a promise of a dedicated BotMarketing feature.
Keep scheduling information separate from professional records
Scheduling staff need the selected format, agreed contact route, time, request status and person responsible for the next action. Reasons for seeking help, session notes, risk assessments and detailed histories should not become shared CRM notes or marketing tags. Even a name linked to an appointment with a psychologist requires careful handling and limited access.
Mini App support messages are stored and available to staff with the relevant access. A booking comment of up to 1,000 characters is saved in the order and reservation. Asking people not to send sensitive detail does not automatically block that content. If it arrives, avoid circulating it through staff chats; route it to the responsible practitioner through the established process and apply the practice's professional recording and retention rules. Apply a deliberate process for any deletion or retention; the scheduling warning does not perform it.

Reminders and rescheduling refer to an agreed appointment
Agree whether administrative messages may be sent, through which channel and with what wording. A notification may appear on a phone screen, and the bot's name may reveal the practice involved. Omitting the reason for the appointment reduces the detail disclosed but does not make the message completely confidential.
A neutral reminder is not an invitation to continue therapy
This fictional reminder refers to a confirmed meeting. The date and time are illustrative; joining details have already been shared through the agreed channel:

When a reservation changes, review, edit or pause the message separately; do not assume it follows the rescheduled appointment.
“Inactive” and “dormant” cohorts reflect a lack of orders, not a need for psychological care. Do not use them to tell people it is time to return. A future session or agreed contact after a pause follows the professional agreement. The absence of a new booking is not a reason to send a discount or repeat an invitation.
A reschedule changes the reservation and its related message
First establish whether the person wants to move the meeting or cancel it. Offer genuinely available times of the same duration and explain applicable terms that were discussed earlier. Do not introduce a penalty or new fee retrospectively. A fictional reply to a rescheduling request might read:

Check the original booking before sending the reply; a proposed time alone leaves its status unclear. After agreement, update the reservation, confirm the result, check the old reminder and set a new one if appropriate. A cancellation without a new date is not a request for a package offer.
An enquiry outside scheduling needs a different route
Administrative staff do not diagnose or choose care from a keyword. The psychologist should establish how professional questions are passed on, who takes responsibility and what happens when there is immediate danger. Remote work requires a separate professional emergency procedure appropriate to the client's actual location; a general bot setting cannot replace it.
- A question about times or fees. Answer through the administrative channel, check the reservation and confirm only an agreed option.
- A question about suitability or another service. Route it to the practitioner through the established process. If they cannot accept it, explain the limitation and offer a verified contact for another service with the person's agreement. Do not automatically forward the conversation or imply that the other service has accepted them.
- A message about immediate danger. Do not place it in an ordinary queue for an available appointment. Follow the practice's professional procedure and direct the person to local emergency services rather than a wait for the booking chat. Receipt of a message does not mean that risk has been assessed or help dispatched.
After the practitioner decides that the format is unsuitable, a fictional response could say: “I cannot accept this enquiry in the service format I provide. If you wish, I can send a verified contact for another service. I will not forward your conversation without a separate agreement.” Check any contact against its location, scope and availability rather than selecting it from a promotional mailing.
