Meditation Classes: Bookings and Invitations in BotMarketing

“I would like to try a class, but what will we actually do?” A meditation facilitator can answer that before asking someone to book. A new participant may want to know whether there is guidance, how long the silence lasts, whether floor seating is required, or whether they must speak. A useful description makes the choice understandable. Returning for another practice remains optional.
This guide includes a sample class listing, a BotMarketing workflow for private appointments and group registration, and messages for a change of date and an invitation. The facilitator decides the practice content and participation terms; the service helps present formats, receive requests and manage communication.
Explain the experience before the booking
Describe what happens: an introduction, an explanation of the exercise, guided practice, and optional questions. State the language, duration, experience level, venue access or online platform. Name the facilitator and their actual training. Avoid promising treatment, a particular emotional state or a guaranteed outcome after a number of sessions.
Explain which choices your format supports: a chair, open eyes, a pause, or declining to share. These should be practical commitments you can honour, rather than reassuring copy that the session does not follow.
A sample introductory class listing
The following details are illustrative. Replace them with your own terms.
- Format: Introduction to Meditation, live online in English, for adults with no previous experience required.
- Date: 18 October 2026, 18:00–18:45 UTC. Show an unambiguous time zone and help participants check their local time. Price: USD 15 per person; maximum eight participants.
- Session: 10 minutes of explanation, 20 minutes of guided practice, 15 minutes for optional questions.
- Participation: a chair and open eyes are welcome; cameras and discussion are optional. Participants can pause or stop. The session is not recorded.
- Preparation: a device with sound, Zoom access and a comfortable place. The facilitator sends the joining link privately after confirmation; the room opens five minutes before the start.
- Registration and cancellation: request a place by 17:00 UTC the previous day; replies within one working day. Cancellation before that deadline receives a full refund; a later cancellation can move to one available date by agreement.
- Communication: the bot handles practical booking questions; ongoing individual support is not included.
For a closed course, list every date, what happens after a missed meeting, and whether recordings are available. A drop-in class and a programme with a fixed group need different terms. These are examples of clear descriptions, not universal rules for your practice.
Set up the participant workflow in BotMarketing
A private appointment reserves one facilitator’s time. A group registers several people for the same meeting. Use scheduled booking for the private appointment and requests with a manually maintained attendance list for the group. A BotMarketing time slot does not count eight seats or run a group waitlist.
- Create the service listings. Add categories for private and group practices in the company dashboard. Enter names, prices, duration and participation terms, then display them in the bot or Mini App. A dated group listing should ask participants to contact the bot’s support flow to request a place.
- Configure private appointments. Enable booking in the bot settings and ordering for the private service. Attach an active schedule to the service or a shared category of private formats delivered by one facilitator. Check for a higher-priority individual service schedule that separates availability. Allow preparation time in working intervals or the full service duration, while explaining the actual practice length.
- Test the participant’s request. In the Mini App, they choose a private service, date and available time, then leave a practical comment. This creates a requested reservation and a linked order. The initial notification does not mean the appointment is finally confirmed.
- Review the private booking. Staff open Reservations, check the time, format and payment conditions, then confirm or propose another time. Check group meetings and bookings from other channels manually: separate schedules do not automatically coordinate the facilitator’s availability.
- Handle group requests. A support message appears in the company enquiry inbox. Staff clarify the date and number of participants, mark the enquiry in progress and check their group list. Keep confirmed places separate from people who agreed to wait. An eight-person group cannot accept a ninth confirmed participant; ask before adding anyone to the waiting list.
- Send a private confirmation. Include the date, time zone, payment and cancellation terms, venue or private joining link. The facilitator checks payment; displaying a payment link does not verify receipt. Save the private appointment terms in an internal note on the linked order, and the group terms in your own registration list. Do not record participants’ personal disclosures there.
- Prepare an arrival reminder. With the messaging feature and appropriate permissions available, select the confirmed participants’ private chats and schedule a one-time send for a specific date and time in the company time zone. Check the recipients and text before sending. After a change, edit the reminder manually or create another for a different audience; it does not automatically follow the reservation.
The group list only needs the date, agreed number of places, confirmation, payment and next administrative action. Restrict access to the staff organising attendance. Do not request health histories in order comments. Deliver the video session through your chosen external platform: BotMarketing does not create Zoom rooms or record actual attendance.

Make confirmation and date changes easy to act on
Send one concise confirmation so the participant does not need to recover the original announcement.
Your place on Introduction to Meditation is confirmed for 18 October, 18:00–18:45 UTC, online. Your USD 15 payment has been received. The joining link is in this message; the room opens at 17:55 UTC. Cameras and discussion are optional. Reply here for cancellation or a change; the cancellation terms in the listing apply.
Use the payment sentence only after checking receipt. If you propose a new date, ask for an explicit response; silence does not confirm it.
I need to move the practice from 18 to 20 October, still at 18:00 UTC. Does the new date work for you? If it does not, I will refund your payment. I will confirm your place on the new date after your reply.
Then update the private reservation or manual group list, check the facilitator’s other commitments and adjust messages. If a place opens, offer it to the first person who agreed to wait, with a clear reply deadline. Contact registered participants personally; a public announcement is not sufficient notice of a change.
Make another practice an optional invitation
Attendance does not establish permission to send every future announcement. Ask separately whether someone wants occasional invitations to this format, and record their answer manually. A one-off practice can end without a promotional follow-up.

Send invitations to selected recipients who opted in. Built-in customer cohorts do not establish interest in a particular class or permission to receive announcements; the service has no arbitrary audience segment for that interest.

Staff record the preference and exclude the chat from future promotional sends. This is a manual process, rather than an automatic unsubscribe command. The participant can still book independently through the bot. Start with one listing, test a private booking and a request for a full group, then walk through a date change and an invitation opt-out to check the complete administrative journey.
