Massage Rebooking: A Simple Client Record and Three Paths

For repeat bookings, a massage therapist first needs to know what the client actually agreed to: one visit, several appointments, or a pause. A large sales pipeline cannot supply that missing decision. Start with a small record that shows whom to contact, why, and when to stop.
This workflow suits a solo therapist or a small practice. It provides a minimal client record, three client paths and two messages for agreed contact. It organizes appointments while leaving the need, format and frequency of sessions to the client’s conversation with the practitioner.
A minimal client record: six details for the next action
Keep the current decision in one working place with restricted access. References to the booking and conversation let you find details without copying the entire chat. This is an operational-note template, not a promise of additional BotMarketing fields or statuses:
- Client and channel: how to address the person and where to find the agreed private conversation.
- Current agreement: a one-off visit, an agreed series of appointments, or a pause.
- Next booking: reference, service, duration, date and practice local time; distinguish a confirmed appointment from a request.
- Next contact: purpose, date and channel, or a clear “no invitations” note.
- Responsible person: the therapist or reception staff member who confirms the time and reads the reply.
- Latest decision: a short conversation outcome and the date the note was updated.
A fictional example: “Anna; private Telegram chat. One-off visit completed. No future booking. At Anna’s request, contact her once on 12 October after 6 pm to discuss choosing a time. Reception responsible; agreement updated on 2 October.” The client chose the contact date; it is not a recommended massage interval.
This record is enough to continue the booking conversation. Leave diagnoses, medical images and detailed health information out of it and out of campaigns. Use an appropriate separate process and access controls for professional documentation; an appointment-management note does not replace it.
Three paths instead of trying to rebook every client
Ask about the next step after a visit. A thank-you or “I’ll come again sometime” does not establish an agreement to receive messages. The answer determines what happens next:

For a one-off visit, giving the client a link and letting them decide is a valid outcome. An empty next-booking field is not a reason for a discount, a message sequence or a “lost client” label.
A series needs individual dates, not just a package label
When the client and practitioner agree to several meetings, distinguish the discussion from confirmed bookings. In this fictional example, the client chose dates around their availability and the service duration was set separately:
- 16 October, 5 pm, 60 minutes — confirmed appointment.
- 23 October, 5 pm, 60 minutes — request received, time still being checked.
- 30 October — the client has not chosen a time; no booking created.
This list illustrates appointment tracking, not a therapeutic plan or a recommended interval. Do not say the whole series is booked when only the first date is confirmed. A service-package name or payment does not establish that all future times have been agreed.
If one appointment changes, ask whether the others are affected and check availability for the whole service duration. Do not shift every date automatically. After agreement, update the booking, operational note and pending messages containing the old time.
A pause stops invitations and prompts a check of existing bookings
“Don’t send new-session offers” and “cancel all my appointments” are different requests. Stop the invitations immediately and clarify future bookings separately. Remove pending invitations and tell the person handling the client about the restriction. Do not switch channels to continue the same campaign.
If the client later asks a question or books independently, respond to that request. It does not mean they agreed to regular offers again. Record a new contact agreement only after discussing it.
Two messages with different purposes
One agreed invitation
For Anna in the first example, send this on the day she chose. Before sending, check for a new booking or a change in her contact preference. Replace the link placeholder with the actual booking route:
Hi Anna, you asked us to contact you on 12 October to discuss another appointment. If you would like to choose a time, open [booking link] or reply here. If you are not planning a visit now, you can leave this invitation unanswered.
When she replies, clarify the desired service and duration, check the time, and confirm the appointment. After a decline, remove further invitations. If there is no reply, close this action without “did you see my message?” follow-ups or booking on the client’s behalf.
A reminder for a confirmed appointment
The first date in the fictional series needs a different message. It should not ask the client to book again or imply that continuing is necessary:
A reminder about your confirmed appointment: 16 October at 5 pm, practice local time, [service], 60 minutes, at [address]. If your plans change, reply here to discuss cancellation or rescheduling. We will agree any other dates separately.
This reminder refers only to the current confirmed appointment. If it changes, correct the pending text before dispatch. If the old reminder has already gone out, send a correction with the new confirmed date. Personal questions about health or the appropriate service need a practitioner’s conversation rather than a template answer.

Check access permissions and the Telegram-bot feature in the subscription. This schedules a specific message; it does not create a therapeutic sequence after a session.
The “inactive customers” cohort means no orders for more than 30 days. It does not represent the “pause” path, permission for invitations, or a need for massage. There is no arbitrary audience builder that automatically applies every field in the suggested operational record. If you cannot select recipients reliably, check the agreements and send manually.
A loyalty program is optional for this workflow. Visit or reward records do not replace agreement on future appointments. Test the process with three client records
Use your own test contacts before sending real messages: one one-off visit without an agreed invitation, one series with confirmed and requested dates, and one pause. Each record should show the next action and its owner. Check that messages reach only the intended person and do not describe a requested time as confirmed.
Then change one booking and stop invitations in another record: stale messages should no longer be scheduled. At the start of the working day, review only open actions — confirm a request, handle a change, or make an agreed contact. An unanswered completed invitation should not create new actions automatically. This keeps a small workflow understandable and lets the client return when they choose.
